FOR ISPA’ S BOARD OF DIRECTORS, a board meeting is far more than a date on the calendar. It’ s the culmination of months of planning, thoughtful review and collective commitment to strengthening the spa industry. From selecting destinations a year in advance to wrapping up each session with a unifying closing exercise, every step reflects the board’ s focus on members and mission.
LAYING THE GROUNDWORK: Planning starts 12 months out Board meeting preparations begin a full year ahead. During their annual planning session, directors review and approve the dates and locations for all meetings in the coming year. Because board members cover their own travel expenses, choosing destinations is a collaborative process— one that ensures transparency, accessibility and comfort for everyone involved.
The ISPA Team works within established board guidelines, including a maximum nightly hotel rate, to make each meeting fiscally responsible and consistent with expectations. Once sites are approved, staff begin coordinating the logistics that will support a productive and seamless experience.
A COMPREHENSIVE LOOK: The board packet arrives One week before the meeting, each director receives a comprehensive board packet averaging 45 pages. This collection of materials provides updates across all areas of the association— membership trends, marketing initiatives, ISPA Conference developments, financial updates and any business items requiring board review or approval.
While each meeting includes recurring business tied to ISPA’ s annual rhythm, the packet also introduces new initiatives informed by current industry conditions and member needs. Throughout the materials, a familiar reminder appears on every page:“ Does it strengthen the industry? Does it help our members?” This guiding mantra sets the tone for the discussions ahead— and clarifies that anything falling outside those two goals isn’ t worth discussing.
THE MEETING DAY BEGINS: Early starts and essential check-ins Meeting day starts before sunrise for many directors. Some opt for an early walk or workout— a casual opportunity to reconnect, boost energy and set a positive tone before a full agenda.
Ahead of the full board session, the Executive Committee gathers for a brief check-in to confirm priorities and ensure alignment. By the time the clock strikes 8 a. m., the full board is assembled and directors are ready to begin.
A FULL DAY OF DELIBERATION AND DIALOGUE A brief icebreaker opens the day, followed by approval of the previous meeting’ s minutes. Then come remarks from the board chair, ISPA president, ISPA Research Foundation chair and treasurer— each offering essential context for the decisions that follow.
